dot.org has created something we call The Communicator. Technically speaking, The Communicator is a web-based document archiving and sharing system complete with a database cross-referencing system. Come again? In layman's terms, it is an on-line communication tool accessible through your organization's website (to anyone you give permission) which allows you to share documents (and other information) and search for those documents in a variety of ways. It includes built-in security that would allow certain individuals to see all documents and other individuals to see only a few. Who sees what is entirely your call.

Therefore, instead of attaching documents and emailing those to loads of people, you can simply post it in The Communicator. Your constituents would then log in and have access to the document. Use The Communicator to post the upcoming agenda for a meeting. Use it post minutes from that meeting. Use it as a filing cabinet to store archived information. Use it to post policies and procedures. Use it to control versioning so only the latest version of the document is accessible. Use it as a repository for pertinent contact information-email addresses of board members, for example-that you want other board members to have access to. Use it however you wish.
